When I first started exploring AI automation for business, I made the same mistake many people make: I focused too much on the AI tool itself.

I thought, “Which AI should I use?” But the better question is: “Which repetitive business process can I connect AI to so it works automatically?” The real power of AI automation comes from combining different tools into a workflow.

For example, instead of manually reading every customer inquiry, copying information into a spreadsheet, and writing responses, I can create a system where AI handles the first steps automatically. Here is a practical workflow I would set up for a small business.

Step 1: Customer Sends an Email

A customer sends a message:

“Hi, I ordered your wireless headphones last week, but I haven’t received them yet. Can you check the delivery status?”

Normally, an employee would open the email, understand the request, check the order system, and write a reply.With automation, this becomes the starting trigger.

Step 2: Zapier Detects the New Email

Zapier monitors the business inbox. The workflow starts automatically:

Trigger: New email received in Gmail.

Zapier captures: Customer name, Email address, Message content, Subject line.

No employee needs to copy and paste anything.

Step 3: ChatGPT Analyzes the Customer Message

Zapier sends the email content to ChatGPT. The AI receives instructions like:

“Analyze this customer email. Identify the customer’s issue, urgency level, and create a professional response draft.”

ChatGPT then identifies:

Category: Delivery problem

Urgency: Medium

Required action: Check order status

Suggested response:

“Hi Sarah, thanks for reaching out. I understand you’re waiting for your headphone delivery. I’ll help you check the status of your order…”

Step 4: Automation Decides What Happens Next

The workflow can now branch. If the question is simple:

AI automation adds understanding:

If a customer fills a form → understand what they need → decide the correct response → complete the appropriate action.

My Suggestion Of Implementing AI Automation in a Small Business

I would advise against automating the entire company. look for tasks that happen every day:

  • Repetitive emails
  • Data entry
  • Report creation
  • Content production
  • Meeting summaries
  • Customer questions

Then create one simple workflow:

Trigger → AI processing → Automated action

For example:

New customer email → ChatGPT analyzes it → Zapier sends response or creates a task

Once that works reliably, I would build additional workflows.
